This page summarizes how Tooli Logistics LLC retains and deletes data in Axivoy TMS. It is intended for customers, partners, and bank-link diligence. It does not publish internal runbooks.
Principles
- Business data for your organization is stored in our primary database as the product source of truth.
- Financial history (for example invoices and payment applications) is kept durable; corrections use new documents rather than silent edits.
- Security and operational audit logs are append-only and are retained to investigate access and changes.
- When a customer relationship ends, we can export tenant data and then purge it under controlled offboarding.
Bank connections and payment ingest
When an authorized administrator links a bank account (via Plaid) for accounts-receivable matching, we retain connection metadata (institution name, account mask, status) and imported credit transactions while the tenant exists and the connection remains useful for matching and audit. Encrypted access tokens are kept only while the connection is active. Disconnecting a bank Link is intended to remove the provider Item and clear local credentials for that connection; imported ledger rows that already became customer payments may remain as accounting history.
Other product data
- Operational records (loads, trips, documents, schedules): retained while the tenant is active.
- Receivables (customer invoices, payments): retained as financial records for the tenant lifecycle.
- AI extraction artifacts: subject to product retention rules that balance support needs with minimization.
- SMS opt-out preferences: retained so we can continue to honor STOP requests.
Tenant offboarding
For B2B carrier offboarding, typical steps are: disconnect bank Links, export tenant-owned data when required, then purge tenant data after confirmation. There is no fully self-service consumer deletion portal in the current product; organizations work with Axivoy operators for export and purge.
